Tools like Otter.ai, Whisper, and Google’s Speech-to-Text have made it easier than ever to generate a rough transcript in minutes. So why do thousands of researchers, lawyers, medical professionals, and businesses still choose human transcription services like TypeOut?

The answer comes down to one thing and that is that accuracy matters  and 85% just isn’t good enough.

 

The Appeal of AI Transcription

It’s easy to see why automated transcription is attractive. It’s fast, often free or low-cost, and requires minimal effort. You upload a file, wait a few minutes, and receive a transcript.

For a casual voice note or a quick personal reminder, that might be fine. But for anything that matters professionally such as a research interview, a legal hearing, a board meeting, a medical dictation. These margins for error is simply too high.

 

What “85% Accurate” Actually Means

When we test AI transcription tools, we consistently find accuracy rates of around 85%. That might sound reasonable until you consider the implications.

In a 60-minute interview containing roughly 8,000 words, 85% accuracy means approximately 1,200 errors in a single transcript. Those errors aren’t just typos. They can include misheard words that change the meaning of a sentence entirely, names and technical terms transcribed incorrectly, speaker labels mixed up or missing, and sentences that are grammatically unintelligible.

 

Where AI Transcription Falls Short

Accents and regional dialects. AI models are trained primarily on standard accents. They struggle significantly with Scottish, Welsh, Northern Irish, Geordie, Scouse, or other regional accents, as well as non-native English speakers. Human transcriptionists with relevant experience handle these with far greater accuracy.

Background noise and poor audio quality. Real-world recordings are rarely perfect. There’s background noise in focus groups, overlapping voices in panel discussions, and audio degradation in telephone recordings. A skilled human transcriptionist will rewind, listen carefully, and mark inaudible sections clearly, rather than guessing.
Technical and specialist terminology. Legal Latin, medical terminology, academic jargon. Most AI tools frequently get these wrong, sometimes substituting an entirely different word that sounds similar. At TypeOut, we assign typists with relevant industry knowledge to each project.

When there are multiple speakers, identifying who is speaking when currently remains a significant weak point for AI. In a focus group, panel discussion, or multi-party meeting, automated tools often lose track of speakers or mislabel them entirely.

Context and meaning, which perhaps most importantly, AI cannot understand the context. It processes sound patterns, not meaning. A human transcriptionist understands that a word which sounds like “four” in a legal context is probably “law”. This contextual intelligence is something AI is still a long way from replicating reliably.

 

When AI Might Be Acceptable

There are limited scenarios where AI transcription can be a reasonable starting point, such as short recordings under 10 minutes with clear audio and a single speaker, informal notes where perfect accuracy is not required, or as a first draft that you have time to carefully review and correct yourself.

However, the time spent correcting an AI transcript often exceeds the time a professional would have taken to do the job properly in the first place.
